Melbourne West Barbell Club Terms & Conditions: 

It is important that you read and understand this document so that we are both on the same page about each aspect of your training. This ensures we maintain a smooth and professional relationship. 

The Basics 

Prior to Training: Please bring all required equipment to each training session (weightlifting shoes, drink bottle, tape, snacks/protein post-session). Your gym bag goes in the pigeonholes at the front of the gym to ensure the gym floor is clear and easy to navigate. Make sure you dress in clean, comfortable gym attire. Please ensure you are booked into the training time slot you wish to attend to avoid disappointment. Failure to book may result in you being turned away from this training slot if it is full. 

Gym Etiquette: At Melbourne West Barbell Club, we pride ourselves on being a TEAM; therefore, we train as a TEAM/CLUB. It is expected that you buddy up with another team member each session and work through your programs together. You will be training with other teammates on the same platform as you and around you, so you need to be mindful of alternating your sets with other teammates where necessary to keep the flow of each session. In doing so, please also be aware of walking in front of others when they are about to lift; wait for them to finish their lift before walking past. It is important to keep your platforms tidy with weights stacked neatly and safely on either side of your bar to avoid any issues/incidents to yourself or others around you. 

Your Membership: Your membership has been selected for you based on your goals, skills, and price point. We ensure that all coaches have a minimum level of skill, qualification, and experience before employment. You can be assured that all coaches will be competent, courteous, and committed to your success. If you feel that any of our coaches fall below the high standard we expect, then we request that you inform us immediately; and speak with Caity Haniver. 

Changing Memberships: Regular training sessions are essential to success and reaching training goals. We do not mind if you change your membership with us after the commencement of your start date. However, alterations to your current program may be required. This will affect the amount you are charged. We are happy to do this but require at least 2 weeks' notice before we can change this. Please discuss any changes with your assigned personal coach. All membership alteration requests will be sent via email to coach@melbournewestbarbellclub.com. 

Membership Holds: Memberships may be placed on hold for a total of 30 days within a calendar year. Membership hold requests require 2 weeks’ notice and must be sent via email to coach@melbournewestbarbellclub.com 

Cancellation/Rescheduling Sessions: To cancel or reschedule a group training session, please do so via your MWBC portal. If you have missed the cut-off time to do this, please contact your assigned personal coach via WhatsApp. To cancel or reschedule a private training session, a minimum of 24 hours notice is needed. Failure to do so will incur the full cost of your session. If you need to cancel within 24 hours notice for whatever reason (except for a major medical emergency or Act of God), the session will be charged. We promise to give you the same courtesy and will give you 24 hours notice if we need to cancel or reschedule a private appointment. If we give you less than 24 hours' notice, the session will be made up for free of charge. We respect that your time is valuable. 

Late arrival policy: 

(a) If you arrive late, your session will run to the agreed scheduled finish time. (b) If you arrive late for a 'Class' or 'Private' session you may not be permitted to join. 

(c) If your coach arrives late, the full session time will run or if not convenient will be made up at a more appropriate time. 

(d) Failure to arrive will incur the full cost of the training session. 

Financial Payment Policy: 

Memberships are contracted for a minimum of 12 weeks from the initial sign-on date for team training services, STRONG program, and 1:1 Personal training. Membership fees will be directly debited via Ezidebit weekly on a Monday. By providing us with your credit card or bank details, you acknowledge that you have authorised us to charge you (by whatever means provided or available) any amount agreed to be paid to us by you. 

Personal training payment is charged at the time of booking through Ezidebit. Payment details are to be provided in advance to confirm your appointment time. Please ensure you read the finer details of Ezidebit payment fees and dishonour fees. 

The STRONG program follows a 6-week programming cycle with personalised programming provided for this cycle. At the commencement of each cycle, you agree to continue through until the end of that cycle (6 weeks in total). Any holds can be processed at a maximum of 2 weeks during each 6-week cycle, with longer holds between cycles as required. 

Cancellation/Suspension of Contracts:

If you wish to cancel or suspend your contract with Melbourne West Barbell Club, please send an email to coach@melbournewestbarbellclub.com with at least 2 weeks prior notice to allow us to organise this with Ezidebit. If you are signed up for team training or 1:1 personal training, please note that you will be locked into your initial term agreement but are flexible to cancel with 2 weeks' notice post the initial lock-in. If you wish to terminate your 12-week contract with Melbourne West Barbell Club, this can be done via a one-off $100 termination fee payable at the time of cancellation. Please note that 2 weeks' notice of cancellation will still apply. 

For participants in the STRONG program, you will be locked in for each 6-week term, and cancellation may be processed at the end of this 6-week term. If you wish to terminate your 6-week contract with Melbourne West Barbell Club, this can be done via a one-off $200 termination fee payable at the time of cancellation. Please note that 2 weeks' notice of cancellation will still apply. 

We retain the right to terminate your contract in the event of unsatisfactory performance by you or for any other reason. In this event, no refund will be granted. Melbourne West Barbell Club retains the sole discretion to determine when a performance is deemed unsatisfactory. You agree that we are not required to give you any reason for our discretion. 

Drop-In Fees: 

For remote membership athletes and casual visits, there is a $25.00 drop-in fee to join in on any coached or open gym sessions held at Melbourne West Barbell Club. This will be paid prior to attending your chosen session. 

Competition Day Fees: 

For 2x per week, 3x per week, recreational and remote memberships, Melbourne West Barbell Club has a $50.00 competition fee that is to be paid 2 weeks prior to competing. This covers our coaches' entrance fee on the day. Our coaches will help you prepare for the meet, tell you what numbers to warm up with, submit your lifting attempts, and handle you throughout the event. We will give you peace of mind on the day. Competition memberships + 4 x per week + memberships will already have this included in their membership fees. 

Privacy:

You understand that Melbourne West Barbell Club collects personal information (as defined by the Privacy Act 1988 (Cth)) and the Privacy Policy. Any personal information collected will only be used to provide you with training services and will be kept confidential between you and our coaches. You grant us permission to use any photographs or videos taken of you during your training or competition, including any before and after photographs, together with your first name and any testimonial you agree to write. You agree that we can use those images and details on our website and in any other publication. You agree that no compensation will be paid or owed to you at any time for the use of these images and/or videos. If you do not wish to allow us to use your photograph or video in this way, please let us know. 

Collection of Personal Information: 

We collect information that is provided directly from our clients. It is up to the client to advise us of any changes to the customer's personal details to ensure we keep our records accurate and up to date. Melbourne West Barbell Club may directly collect personal information from our clients by the following: 

  • Email 

  • Phone call/text 

  • MWBC Website 

  • Social media 

  • Written correspondence/hard copy forms 

  • In-person 

  • We may collect information from third parties, including your trainer coach or current members (friend referrals) 

How We Use Personal Information: 

We will use the information we collect to provide the service that has been requested from us. We may disclose information to a third party who is contractually required to comply with our privacy obligations. 

Protecting and Maintaining Personal Information: 

We are committed to protecting the personal information we hold about our clients from unauthorised access, use, and disclosure. We will take all reasonable steps to ensure that personal information is handled in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). We will only use or disclose personal information with the individual's consent, which can be expressed or implied. Expressed consent can be verbal or in writing, while implied consent may arise from the individual's conduct or relationship with us. 

Accessing Personal Information:

Individuals may request access to the personal information we hold about them. We will provide access to personal information as soon as possible, and in any case within 30 days, after receiving the request. 

Privacy Complaints: 

If an individual has any concerns about how we handle personal information, or if they require further information about our privacy practices, they can contact our office. We will investigate and respond to privacy complaints in accordance with the APPs. 

Warranties: 

By participating in any training activity at Melbourne West Barbell Club, you warrant that you are physically fit, have disclosed all relevant health and medical history, and are in a condition that allows you to participate fully in such activities. You understand that Melbourne West Barbell Club is relying on your warranty of your physical condition before allowing you to train. You agree to assume full responsibility for the payment of any medical expenses not covered by insurance that may result from your participation in any activity at Melbourne West Barbell Club. You acknowledge and understand that there are inherent risks in participating in strenuous exercise. 

Limitation of liability: 

In the event that you sustain or claim to sustain any injury while participating in any training session with Melbourne West Barbell Club, you acknowledge that Melbourne West Barbell Club, its employees, agents, or coaches will not be held liable except where the injury was caused by their gross negligence.
